E-mail releasesAccording to Jon Knutson, a reporter at The Forum, he and his colleagues prefer that you include the text of your news release cut-and-pasted within an e-mail message, rather than sending it as a separate attachment. If you do attach, the newsroom can handle PDFs (Adobe Acrobat files). This is becoming the default format for exchanging documents over the Web, and permits the reporter or editor to copy and paste verbiage into their own file. Jon says The Forum prefers JPG photos of at least 200 dpi. This is worth a special note, since photos destined for the printing press are normally saved in EPS or TIF at 300 dpi. The lower dpi and lossy JPG format Jon mentions would only be acceptable in low-quality printing — such as the high-speed web presses and newsprint on which newspapers are printed. The newsroom really doesn't like downloads, Jon emphasizes, because of the possibility of viruses. If you must send something that way (such as photos), it's a good idea to call first to alert the recipient ... and also to mention the attachment and its contents in your e-mail. 9-26-02
